Customer guide

Everything from order to first result: what we do, what you do, and how to connect channels and tools.

1. What happens after you order We do it

After payment we build your team — you only provide information about your company.

  1. Order and questionnaire: you pick the team and fill in a short questionnaire (products, pricing policy, tone, working hours).
  2. Invoice and payment: the invoice arrives by email and in the cabinet. Once payment is confirmed your cabinet is activated.
  3. Setup (1–6 business days): we tailor each worker's instructions to your company, fill the knowledge base and test on sample tasks.
  4. Handover: login details arrive by email. During the first week we review results together and refine instructions.
  5. Ongoing work: workers work every day, the coordinator plans the day, reports arrive in the cabinet and by email.

2. Your steps in the first 30 minutes You do it

These steps directly improve the quality of the work.

  1. Profile → check company details: website, phone, address, working hours.
  2. Knowledge base → add your price list, service descriptions, FAQ, delivery/warranty terms. Workers rely only on this — they don't make things up.
  3. In each worker's Settings set a name, tone and special rules (e.g. "never give more than 10% discount").
  4. Give the first task in plain language: "prepare 5 Instagram posts for this week".
  5. Mark good answers with "Like" — the worker learns your style.

3. Website chat (widget) You do it

An AI worker answers your website visitors 24/7 and the inquiry lands in the CRM.

  1. Cabinet → Integrations → "Website chat": choose the answering worker.
  2. Copy the one-line code.
  3. Paste it before </body> on every page of your site (WordPress: "Insert Headers and Footers" plugin; Tilda/Wix: "Custom code").
  4. Open your site and test the chat button in the bottom-right corner.

4. WhatsApp Business Together

The worker answers customers writing to your number, via the official WhatsApp Cloud API.

  1. You need a Meta business account at business.facebook.com (takes 5 minutes).
  2. developers.facebook.com → "Create app" → Business → add the WhatsApp product and verify your number.
  3. In WhatsApp → API Setup copy the "Phone number ID" and a permanent (System User) token.
  4. Cabinet → Integrations → WhatsApp: enter them and paste the Webhook URL into Meta.
  5. Note: the number can't be used in the regular WhatsApp app at the same time — a separate business number is recommended. We can set this up fully for you.

5. Instagram and Facebook You do it

Replies to Direct and Messenger, one-click publishing of ready posts.

  1. Your Instagram account must be Professional (Business or Creator) and linked to a Facebook Page (Instagram → Settings → Accounts Center).
  2. Cabinet → Integrations → Instagram/Facebook → "Connect with Facebook".
  3. Choose your Page and Instagram account and approve the permissions.
  4. Pick the answering worker. A designer's post is published with the "Publish" button in the chat — nothing is posted without your approval.

6. Telegram You do it

The worker answers in your bot; you can publish to your channel.

  1. Message @BotFather → /newbot → give it a name → copy the token.
  2. Cabinet → Integrations → Telegram: paste the token and pick a worker.
  3. To publish to a channel, make the bot a channel admin and enter @channel.

7. Mailbox and Gmail You do it

The worker reads incoming mail and drafts or sends replies; from the CRM you email clients.

  1. Easiest with Gmail: Integrations → Google → "Connect with Google" — emails go from your own Gmail address.
  2. To read incoming mail: Integrations → Mailbox. In Gmail enable 2-step verification and create an "App password" (myaccount.google.com → Security → App passwords) — not your normal password.
  3. Other providers (Yandex, Outlook, hosting mail): IMAP/SMTP presets are built in.
  4. Mode: "Draft" — the worker prepares, you approve; "Auto" — sends immediately.

8. Google: Sheets, Drive, Calendar, Gmail You do it

Each customer connects their own Google account — your data stays in your account.

  1. Integrations → Google → "Connect with Google" → choose your account and approve.
  2. Sheets: the CRM is written to a "TTM AI — CRM" sheet automatically. Edits in the sheet come back with "Pull from sheet".
  3. Drive: in Files, the ▲ button (or auto mode) sends a file to the "TTM AI" folder.
  4. Calendar: "Schedule a meeting" on a CRM card puts it in your calendar, optionally inviting the client.
  5. Gmail: emails from a CRM card go from your own address.
  6. Security: we only ask for files created by the platform, calendar events and sending email. We don't read your inbox or other files. You can disconnect at any time.

9. CRM: bring in and track clients You do it

All clients on one board: who is at which stage and what's next.

  1. CRM → "Import": Excel (.xlsx), CSV or a Google Sheets link. Columns are detected automatically (Name, Company, Phone, Email, Stage, Value, Note). A sample file is provided.
  2. New inquiries (website, WhatsApp, Instagram, phone) land in "New" automatically.
  3. Drag cards between stages; set a "Next step" and date — overdue items turn red and the coordinator assigns them to sales.
  4. On a card: notes/calls, meetings, emails, documents, tasks for AI workers.

10. Other CRMs and tools (Bitrix24, amoCRM, HubSpot, 1C...) Together

Connect to any system via webhooks and the API.

  1. Cabinet → Integrations → create an API key (shown once — store it safely).
  2. Add a webhook: the URL (Make, Zapier, n8n or your own system) and events — contact.created, contact.updated, lead.captured, task.done, needs_human.
  3. In Make/Zapier: "Webhooks → Custom webhook", paste the URL into the cabinet, then connect "Bitrix24/amoCRM/HubSpot → Create lead".
  4. From your system to us: POST https://ai.ttmo.az/api/v1/contacts (Authorization: Bearer key) — the client lands in the CRM.
  5. Do we set it up? Yes — simple flows (new lead → your CRM) are part of setup; custom development is quoted separately.

11. Command center and autonomous work We do it

The team works even when you don't assign tasks.

  1. Every workday morning the coordinator reviews the team's results and gives each worker a task.
  2. Results pass to the connected teammate (SEO → content → design → ads; call → sales → invoice).
  3. When a decision is yours (discount, complaint, contract), the worker turns orange "needs you" and you are notified.
  4. A daily cap on autonomous tasks keeps costs in check; you can switch autonomous mode off any time.

12. Security recommendations Together

Your data is protected by encrypted connections and encrypted storage. On your side:

  1. Don't reuse or share your cabinet password.
  2. Enter API keys and tokens only into trusted systems; if in doubt, delete and create new ones.
  3. Don't put card numbers, passwords or ID numbers into the knowledge base — workers don't need them.
  4. When an employee leaves, refresh the Google/Meta connections they set up.

13. Payment, limits and cancellation You do it

Short summary — the full text is in the Terms of Service.

  1. The subscription is prepaid monthly or yearly; setup is a one-time fee (free with yearly billing).
  2. Each worker has a monthly work limit; when reached, it waits for the next month or you upgrade.
  3. You can stop the subscription any time: no invoice for the next period, the paid period runs to its end.
  4. Amounts paid (subscription, setup, additional services) are non-refundable.

Let us connect it for you

If you'd rather not spend time on technical steps, we set up the integrations: WhatsApp, Instagram, website widget, email, Google and CRM migration are part of the setup service. Write to info@ttmo.az.
